PTA Board Meeting – January 10, 2013

Gwen Janulis called the meeting to order at 2:08 p.m.
Secretary Julie Hammonds presented the minutes from the
12/13/2012 board meeting. The minutes
were presented in the form of a motion.
There were no additions or corrections, and the minutes were
approved.
Carla Rutherford presented the treasurer’s report. She stated PTA recently received $970 from
the Boxtops program.
There was no administrative report at this meeting.
Lora Barnett discussed the Fuel Up to Play 60 program. She said a poster contest would be held and entries
were due February 1. The Fuel Up team
decided not to have a Healthy Heart dance.
President Gwen Janulis said after-school programs would be
tentatively planned for after spring break and would be organized by Donna
Sanders.
The board discussed the needs assessment surveys recently
conducted, and also reviewed different fundraiser ideas. No fundraiser was decided upon at this
meeting.
Gwen asked everyone to complete their job descriptions to
place on file in the PTA room.
Gwen announced plans for a Dr. Seuss week to take place at
the school. This will be organized by Tabitha Sells. Gwen said she would discuss with Ms. Angie the
exact dates and rules for the week.
The board discussed the need for volunteers to lead committees.
Carla talked about Red Ribbon week and encouraged the board
to think about reviving the program.
This is to be held in October.
The next board meeting will be February 12, 2013 at 2:00
p.m.

Secretary Julie Hammonds presented the minutes from the 11/08/2012
board meeting and the 11/13/2012 general membership meeting. The minutes were presented in the form of a
motion. There were no additions or
corrections, and the minutes were approved.
There was no administrative report at this meeting. Gwen stated Ms. Angie is very happy with how
things are going with PTA.
There were no committee reports presented at this
meeting.
Gwen reported that the new bylaws were mailed to the state
PTA office in Nashville, as well as the revised list of Miller Perry PTA
officers.
Gwen also discussed the Holiday Market and Talent Showcase
event. There were 16 vendors at this
event, and the children in attendance enjoyed the face painting offered. Not many children participated in making
crafts, so we discussed not providing this option if we repeat the event next
year. The Talent Showcase was a
wonderful success.
A volunteer coordinator is still needed. Everyone was encouraged to help with this
search.
Class Christmas parties will be held on December 21. Teachers will decide on the time of the party
for their class. This is a half day for
students.
Gwen will conduct the needs assessment survey with parents
present at the 4th grade music program next week. The board will combine these results with the
surveys collected at the 3rd grade music program last week and start analyzing
the results.
Carla Rutherford presented the treasurer’s report. PTA received a check from Cartridge World for
$130.50 for printer ink cartridge recycling.
PTA also received $916 in donations from the Holiday Market event.
The board discussed fundraiser ideas for
January/February. Everyone will continue
to research ideas and then pick a fundraising opportunity at the January board
meeting.
Gwen will discuss the afterschool programs schedule with
Donna Sanders, possibly starting in March and wrapping up by spring break.
Job description books are also being made, and Gwen asked
each board member to keep track of the tasks they are performing for their
board position, as well as a timeline of when these duties are being
performed. These will be filed
collectively to help future board members understand their job expectations and
requirements.
The board will set up a time at the meeting in January to
discuss PTA standing rules.
The next board meeting will be January 10, 2013 at 2:00 p.m.

PTA General Membership Meeting – November 13, 2012
A quorum was established for the meeting and president Gwen
Janulis called the meeting to order.
Gwen gave a report on spirit cup sales and the events
planned for American Education week, including the Hero’s Breakfast, teacher
breakfast and luncheon.
She also stated that PTA is working hard to keep parents
posted on events and activities at Miller Perry. She announced an upcoming newsletter and told
everyone they could now access PTA meeting minutes on the PTA blog.
Gwen announced the Holiday Market and Talent Showcase would
be held on December 7. Gwen encouraged
everyone to come out for food and shopping at this fun event.
Revised bylaws were posted on the PTA blog and printed
copies were available for those in attendance who had not been able to view the
bylaws on the blog before the meeting.
The bylaws were presented as written in the form of a motion for a vote,
and they passed unanimously.

Gwen Janulis called the meeting to order.
Secretary Julie Hammonds presented the minutes from the
10/16/2012 board meeting. The minutes
were presented in the form of a motion and accepted as presented.
Committee reports:
Lora Barnett gave information on
the Fuel Up to Play 60 program and the upcoming Hero’s Breakfast. She stated everything was ready for the
breakfast and 3 firefighters from Warriors Path, Mr. Trinkle (National Guard)
and Mr. Frasier from the Sherriff’s Department would be attending. Lora also met with the Student Health team
and will be working on a poster contest in January. The Fuel Up team will be judging the
contest. The team also suggested a
volleyball game after TCAPs. Lora is checking
on liability issues with Central Office.
The team was not interested in the idea of a Healthy Heart dance. They did express interest in a Family Field
Day/Family Olympics competition. There
was also discussion of a Healthy Hoe-Down.
The board discussed All-Pro
Dads. Gwen said Larry Davis does want to
continue the APD program and wanted to hold an event in November and
December. However, it was decided it was
too late in the month to have an event in November.
Gwen talked about American
Education week. Gift baskets for
teachers were being prepared. Events for
the week included the Hero’s Breakfast on Tuesday, and breakfast on Wednesday
and lunch on Friday for the teachers.
Gwen also gave a report on the
upcoming Holiday Market event to be held December 7 from 6-8:30. She stated she was looking into finding more
tables for the vendor booths. Sara Schaffer
would be in charge of running the sound system for the talent showcase, and she
would also help with face painting. The
event will be held the cafeteria and the annex.
Crafts have been ordered. PTA is
in charge of food for the event (BBQ sandwich dinner, chips and drink). Kristi Hommell to check with Wal-Mart for
donation to purchase food. Mecha Oliver
and Donna Sanders to preview acts for talent showcase. PTA to decorate on day of event. Ms. Angie will check with teachers for
donations of homemade treats for the dessert table.
Ms. Angie gave an
administrative report to the board as follows:
Food City
will present a donation check at the next general membership meeting.
The cookie dough sale went fairly
well. Proceeds from this sale will be
used for carpet replacement.
The mini fall festival was a big
success.
Golden Fork and Golden Spoon
cafeteria awards. Winning will receive a
popcorn treat.
Gwen announced bylaws are ready for vote on November 13 at
the general membership meeting. The
board is also in the process of working on standing rules for the PTA.
The calendar for music programs has been revised and the
programs will now be on Thursday evenings (rather than Tuesdays) as follows:

Kindergarten
Gwen discussed the need for a volunteer coordinator. PTA will coordinate surveys for the teachers,
to find out their needs, as well as a survey regarding parent expectations of
the PTA. The needs assessment survey
will be handed out at the upcoming 3rd grade music program and also sent out to
other classes. Ms. Angie said she would
like to see a newsletter. Discussion was
also held regarding the Volunteer Spot website and using it to coordinate
classroom and PTA volunteers.
Carla Rutherford gave the treasurer’s report. She stated the audit had been completed and
taxes filed. The fall fundraiser (spirit
cups) made $3800, but approximately $6000 was budgeted. PTA needs to find ways to make up the
difference in the spring to stay on budget.
Christmas parties will be on December 21. They will be breakfast parties since school
is only in session for a half day that day.
Teachers will decide on the time of the party for their class.
The next PTA board meeting will be on December 13 at 2:00
p.m.

A scheduled board meeting on 10/04/2012 was not called to order and was instead a work session. No minutes were taken at this meeting. Secretary Julie Hammonds presented the minutes from the 09/11/2012 general membership meeting and the 09/05/2012 board meeting. The minutes were presented in the form of a motion and accepted as presented.
Treasurer Carla Rutherford stated the tax audit needed to be completed and the report to PTA headquarters in Nashville by November 15.
There was no administrative report at this board meeting.

Fuel Up to Play 60 – Gwen stated Lora Barnett is working on this committee.
All-Pro Dads – Waiting to hear from Larry Davis regarding continuing this program.

Holiday Market – Julie Hammonds is working on getting vendors for this event. The board discussed having the event in the gym or in the annex. Gwen said she would talk to Ms. Angie and also look at the annex to see if there would be adequate space for the event. Gwen said she would ask for volunteers at the 3rd grade music program.
Mini Grants – Carla stated Ms. Angie has approved all mini-grant applications that were turned in and everything is being ordered for the teachers at this time.
After School Programs – Gwen reported Donna Sanders requesting putting this on hold and starting in the spring.
Membership Update – Membership chair Stephanie Topping was absent from the meeting, but Carla reported the current membership list had been turned into the state by the deadline. However, PTA is accepting new members throughout the year.
Carla Rutherford stated $211 was used to buy a book from the school book sale for 37 children. These children were identified by their teacher or Ms. Clare as unable to afford the purchase. She also announced PTA earned $56 from t-shirt sales at the Fall Festival.
Gwen said she will have a survey available at the 3rd grade music program on 11/13/2012. This will be used to gather information and allow people to submit their names to volunteer on committees. Also, updated bylaws will be posted on the PTA blog and will be voted on at the general membership meeting before the music program.

PTA General Membership Meeting – September 11, 2012
Principal Angie Baker called the meeting to order.
President Larry Davis welcomed everyone and requested and moment of silence to remember the victims of September 11.
Taylor Cooper, a 5th grader and the winner of the Kingsport Idol contest in the 8-12 year old age group, performed the song “American Honey” by Lady Antebellum.
Misty Burk, Store Manager of the Colonial Heights Food City, spoke about the School Bucks program and encouraged everyone to sign up. The program runs from 08/24/2012 through 05/04/2012 this school year. She noted that there are many ways to earn extra money for the school, such as sending in PTA meeting agendas.
Larry Davis spoke about additional ways parents can help earn money for the school. These include Box Tops, Campbell Soup Labels, My Coke Rewards, Tyson Chicken A+ labels, and sending in old ink cartridges for recycling.
Barry Griggs from the Sullivan South Community Chest presented Ms. Angie with a donation of $3350. Ms. Angie thanked Mr. Griggs and stated this money will be used to supply the school clinic and also for benevolence needs at the school.
Ms. Angie then reviewed the EPIC program (Encourage, Protect, Inspire, Connect). She thanked the teachers in attendance at the PTA meeting and recognized them. A film was then shown about the EPIC program and proper behavior in an EPIC school.
Miller Perry student Camden Baso, the winner of four gold medals in Sport Stacking at the 2012 AAU Junior Olympic Games, performed his amazing cup-stacking routine. Ms. Angie congratulated Camden and Taylor and said how proud she is to have these EPIC students, as well as all the other EPIC students, representing Miller Perry in the community.
PTA Treasurer Carla Rutherford presented the budget for the 2012-2013 school year (see attachment). She explained that a line item was added for Mr. Parker and the physical education program. She also gave estimates on how much income PTA had last year from fundraisers: Approximately $9000 was earned from the fall catalog fundraiser, between $6500 and $7000 was earned from the spring walk-a-thon, and Box Tops earned approximately $2500. Carla told everyone that the potential income from Box Tops is $20,000 per year and encouraged parents to participate in this program. Carla presented this budget in the form of a motion. The motion was seconded and carried by unanimous voice vote.
President-Elect Lora Barnett reported on membership. The current number of members is 175. Lora reminded everyone that the membership drive will last the entire school year, and that the purpose of PTA is to advocate on behalf of the students at Miller Perry.
Larry spoke about the upcoming All-Pro Dads breakfast which will be held on 09/13/2012 from 7:30 to 8:30 a.m. The program will include breakfast, door prizes, and a speaker. He encouraged everyone to come out and support this event.
Lora talked about the Fuel-Up to Play 60 program and the event scheduled for September 18 from 6-8 p.m. This student-led fitness and nutrition program will feature former NFL player Artose Pinner as guest speaker. The event will also include various fitness and nutrition stations, samples of smoothies provided by the National Dairy Council, and the Mountain States Health Alliance Mega Heart. There will also be a food drive in conjunction with this event. Food donated will be used to supply the Miller Perry food pantry. Lora said this will be a fun family event and urged everyone to attend.
Larry thanked everyone for their attendance at the meeting. He gave contact information for PTA and then adjourned the meeting.

President-Elect Lora Barnett called the meeting to order.
President Larry Davis was unable to attend the meeting due to a change in his work schedule. Lora reported that Larry was checking on the upcoming All-Pro Dads event, and that he would also be advertising for the upcoming general assembly PTA meeting on Facebook and the school website. Flyers regarding the events were also being sent home with the students.

Ms. Angie also gave the schedule for General Assembly PTA meetings with grade-level programs. All meetings will begin at 6:30 p.m. except for 5th grade graduation, which will be held at 1:00 p.m. There will be a short PTA meeting before each program.

Lora asked Ms. Angie about projects for money set aside for school improvement. PTA has $124 reserved for school security improvement. There was discussion regarding the broken doorbell at the front entrance of the school, but Ms. Angie suggested holding onto this money as the temporary doorbell is working fine and there may not be a need for a doorbell there if the school office is relocated downstairs.
Ms. Angie discussed the need for mulch, weeding, and general beautification of the school grounds. She has contacted people from the church that meets at Miller Perry to see if they are willing to help, but at this time she has not heard back from them. Gwen Janulis, PTA Parliamentarian, stated she also is working with her church on this issue. She suggested using rock rather than mulch. Discussion was held regarding finding grant money for this project. Ms. Angie stated Connie Maden would be interested in heading a grounds committee.
Ms. Angie said her next project is refurbishing the auditorium. She stated the auditorium needs new risers, darkening curtains, a sound barrier, new carpet, paint, and reupholstering for the seats. She said after the auditorium, her goals will be to put together a long-range technology plan, including wireless internet and Apple TVs that hook to Smartboards and IPads.
Ms. Angie requested being included in monthly PTA board meetings. She scheduled the next meeting for October 4, 2012, at 2:00 p.m. Lora said she would ask Kim Amburn to update the PTA website with this date and time.
Lora Barnett reported on the Fuel Up to Play 60 event scheduled for September 18. This student-led fitness and nutrition program will feature former NFL player Artose Pinner as guest speaker. The event will include various fitness and nutrition stations, samples of smoothies provided by the National Dairy Council, and the Mountain States Health Alliance Mega Heart. There will also be a food drive in conjunction with this event. The food donated will be used to supply the Miller Perry food pantry. A link will be added to the website regarding suitable foods to bring in for food drive (pasta, canned goods, cereals, etc.). Gretta Gibbons, a local Thirty-One representative, will also be at this event selling products from the company’s spirit line, and she will donate 25% of her sales that night to PTA.
Another event scheduled at Miller Perry in conjunction with Fuel Up to Play 60 is the Hero’s Breakfast. This will be held on Tuesday during the week of American Education Week. Local firemen and police officers will be invited to have breakfast with the students in the cafeteria. They will talk to the children about what they eat for breakfast to fuel up for their day as a community helper.
Membership Chair Stephanie Topping reported PTA membership is up from last year. Currently PTA has 174 members, and applications for membership are still being accepted. Lora stated she was working on imputing email addresses into the Just Between Friends system.
The PTA fundraiser will begin on October 8. Lora stated to coincide with the health choices theme and Fuel Up to Play 60, students will have the opportunity to sell spirit cups. Other options for future fundraisers include a “fun run” in the spring, as well as selling t-shirts with the EPIC logo. Ms. Angie suggested doing pre-orders for the t-shirts in order to minimize leftover shirts at the end of the sale. Other methods of income for PTA were discussed, including Box Tops, Campbell Soup Labels Target Rewards, My Coke Rewards, and School Bucks donation programs from Food City and Ingles. A complete list of these opportunities and links to the programs will also be listed on the PTA website.
The agenda for the upcoming PTA general membership meeting was discussed. Taylor Cooper, a Miller Perry 5th grader and the winner of the Kingsport Idol contest in the 8-12 year old age group, as well as Camden Baso, another Miller Perry student and the winner of four gold medals in Sport Stacking at the 2012 AAU Junior Olympic Games, will be performing. A video on the EPIC program will be shown, All-Pro Dads and Fuel Up to Play 60 will be discussed, Sullivan South Community Chest will be presenting a donation to Miller Perry, and parents will be reminded of fundraising opportunities such as Box Tops and Food City.
The board discussed the teacher grant program in place and Lora said Mr. Parker needs equipment and asked PTA for help purchasing a list of items. We agreed that since all teachers and related arts staff receive PTA funds if they apply for them, that Mr. Parker should have a line item added to the budget. It was decided to fund $1000 this year since he has not received PTA funds in the past, and then $500 per year (equal to the funding other related arts staff receives) thereafter.
Lora stated Donna Sanders will be taking over the after-school programs starting in October.
Treasurer Carla Rutherford presented the budget. She stated we would be carrying forward money from security camera donations and money for school improvements from last year. Kim Amburn, Gwen Janulis and Carla Rutherford make up the finance committee and will be auditing the books soon.
With no further items on the agenda, the meeting was adjourned.
